William Harris Administration BuildingThe Business Office, under the direction of the Vice President of Finance, Sandy Mooney, consists of the Budget and Accounting, Human Resources and Purchasing departments.

The Budget and Accounting Department is responsible for receipts, non-payroll payments, budgeting, and accounting. Quality customer service and accurate transaction processing and reporting is our major objective.

Non-student receipts are processed within various departments, forwarded first to the Chief Fiscal Officer for entry and then to Accounts Receivable in the Budget and Accounting Department where they are processed for deposit, retention and reconciliation.

Student receipts (tuition, fees, and "overpayments" - excess federal financial aid and other funds) are processed by Accounts Receivable in the Budget and Accounting Department. Overpayments will be made available to students by check or direct deposit.

Student Direct Deposit is the College's preferred method of making overpayments. The College will send overpayments electronically (EFT/ACH) to the student's bank account. The student will receive the overpayment quicker than a check payment. All students receive receipt statements via mail. The receipt indicates what funds the College received on behalf of the student and whether the account has a balance due or an overpayment. Students with direct deposit usually have the overpayment money in their bank account before they receive the receipt statement via mail.

Direct deposit transactions are less costly than checks, easier to process, processed daily, quicker to receive, and take less employees and labor time to process. Students without direct deposit must wait for the overpayment to be entered, the batch processed, the checks printed, the check document processed, the checks signed by two of the three signors (when and if available), the return of the signed checks, and the distribution of the signed checks to Accounts Receivable. In addition, Accounts Payable cuts checks once a week, on Wednesday afternoons, and attempts are made to have overpayment checks available to students by Thursday, 4:00 p.m.

The Budget and Accounting Department also administers emergency student loans. Amounts up to $500 may be borrowed. Effective August 19, 2000, the origination fee is $15 if processed via direct deposit and $25 if processed via check.
